Your Job:
 
The Administrative Program Lead supports the Asia Footwear and Sourcing and Manufacturing teams across multiple regions within Asia. This role will serve as a partner between our Asia Leadership Team and North America Leadership Team ensuring strategic, proactive and thoughtful support of the organizations’ business cycle and to ensure cross regional alignment. You will act as the point of contact and link between employees across our Global Brooks offices, internal departments and external parties to enable a high level of communication, support, process and policies to ensure the functions run smoothly. In this role you will manage business and organization tasks for the team to support the successful execution of our Global footwear business. 

Your Responsibilities:

  • Partner with key leaders in Asia to project manage and support strategic Footwear and Sourcing and Manufacturing initiatives that deliver measurable results across the business strategy for our R&D and Sourcing teams.
  • Contribute to team efficiency and productivity by acting as a main point of contact between leadership and staff to foster effective communication and collaboration.
  • Oversee, lead and develop systems, practices and processes to ensure standard best practices are met for optimal employee experience.
  • Execute the daily administrative, business and team needs across the Asia based Footwear & Apparel Product & Sourcing Departments.
  • Plan, organize and support team meetings, venues, vendor management, room set up including audio/ visual. Manage and own the Footwear, and Sourcing and Manufacturing Senior Leaders including calendars including travel, meetings, offsites and requests from other functional leads. Work with department heads to set agendas, plan for logistics and follow through with postmortems.
  • Complete expense reports related to any travel, meeting or offsite needs for Footwear and Sourcing & Manufacturing leaders.
  • Partner with HQ based Executive Assistants on all Global Footwear and Sourcing and Manufacturing team initiatives, presentations, internal company and external partner communications.
  • Support leaders and HR in Asia on driving culture initiatives across all Asia Footwear and help build team integration and collaboration to deliver desired business results.
  • Plan, organize and execute the transportation needs of all Southern Vietnam employees including daily shuttle service for office team members, daily visitor transportation and visitor airport pick up/ drop off. This includes all travel support for Brooks employees coming from other global regions.
  • Review all invoices and contracts related to transportation and ensure accuracy. Ensure on-time payment for travel arrangements team members travelling to and within Asia region.
  • Support in booking all necessary travel arrangements including but not limited to: hotel reservations, airport transportation, daily transportation for all Brooks teams travelling within Asia.
  • Manage relationship with Asia based hotel and transportation businesses to ensure teams have quality support and reliable travel support. Ensure close partnership with HR team as needed.
  • Manage day to day operations of the office including ensuring office supplies, mail and facilities requests for all Southern Vietnam based employees.
  • Build and maintain strong relationships with internal stakeholders and external vendors.
  • Support Asia leadership with presentation document creation, meeting material presentation and meeting minutes as required.
  • Manage Outlook calendars for footwear & sourcing meetings, events etc.
  • Ensure Footwear Asia SharePoint side is maintained and updated for team communications appropriately.
  • Maintain Contact lists including employees and vendors.
  • Recruit and direct the work of the Footwear Administrative Coordinator
  • Additional support as required.
  • Qualifications:

  • Bachelor’s degree in Business Administration, Communications or related fields preferred.
  • Minimum of 3+ years of experience in administrative support, preferably executive level
  • 1+ years management experience preferred including hiring and directing additional staff.
  • Fluent English communication skills (both speaking and writing). Ability to effectively present information and respond to questions from their counterparts at US headquarters, cross-functional colleagues, factory partners, etc.
  • Outstanding interpersonal and communication skills to effectively interact with all levels of employees along with customers, partners, vendors and corporate executives. Ability to build trust and respect both inside and outside of the organization.
  • Advanced calendar management skills. Ability to manage various calendars at once.
  • Demonstrated ability to handle complex employee requests associated with Senior Leadership roles. Ability to work with confidential information and manage appropriately.
  • Excellent time management skills with the ability to manage multiple projects simultaneously and work in a fast-paced environment.
  • Strong Self-starter with the ability to take on and complete projects with minimal direction.
  • Strong prioritization and organizational skills with a proven ability to get things done.
  • Sound judgment skills with an ability to work with confidential information and discretion.
  • Excellent interpersonal skills that inspire and build trust resulting in effective working relationships across the company.
  • Be extremely detail-oriented and able to meet daily, weekly and monthly deadlines.
  • Strong self-starter – ability to take on and complete projects with minimal direction.
  • Proficiency with Microsoft Office (Outlook, PowerPoint, Excel, Word, Visio), SharePoint, office technology and equipment
  • Experience creating high quality presentations utilizing PowerPoint, Keynote and reports using Excel is strongly preferred.
  • Proven track record of successful collaboration in global teams
  • Strong interpersonal, communication and presentation skills; must be extremely detail oriented.
  • Must possess the ability to multi-task and work in a fast-paced, team environment.
