Your Job:
The Sales Team Administrative Assistant will provide day-to-day administrative support to leadership and the broader Sales team as well as assist in the execution and project management of key sales events ensuring a world-class brand experience for our partners and internal stakeholders. You are the go-to person for our 40+ sales rep force. You are a key partner to the VP of North America Sales & Service assisting in meeting execution, sales representative communication and overall sales team support.

Responsibilities:

  • Support key account sales meetings for select key accounts including travel, site/room management, arranging for meals, product seeding and other needs to ensure a high-value meeting environment for critical customers, including RIA Run Summit, GOA Trade Show, Bi-annual sales meeting support and other key account meetings as needed
  • Work under the direction of the VP of North America Sales and Service & Sales Event Lead to support the daily administrative, business and team needs across the department
  • Proactively manage the calendars for the VP of North America Sales & Service as well as functional leaders as needed
  • Partner with Sales Leadership Team to drive business and culture initiatives across each team and help build team integration and collaboration
  • Coordinate travel arrangements including scheduling flights, ground transportation, and booking hotel accommodations and handling any other trip related tasks for multiple employees
  • Manage Apparel and Footwear samples, which includes ordering and managing inventory for team, M3 data entry; marketing order placement, seeding and sample ordering and maintenance of storage sites for all Sales samples in HQ buildings
  • Act as subject matter expert on team travel and expense reports for full Sales organization
  • Reconcile expenses from department credit card for accounting
  • Arrange and coordinate team meetings and events, venues, vendor management, room setup including audio/visual.
  • Attend meetings, take notes, track, and share decisions and actions
  • Prepare sales collateral for sales presentations (PowerPoint, copying, binding)
  • Set-up HQ Showroom(s) for key account meetings with external customers
  • Manage the race bib program for retailers; write PO’s, communicate with retailers, sales reps and vendor
  • Facilitate VISA requests for international travel for sales managers and key customers
  • Perform special projects and additional duties as assigned. 
  • Qualifications:

  • High school degree or equivalent
  • 1+ years of experience in administrative support
  • Exceptional interpersonal, verbal, and written communication skills with a service orientation
  • Ability to manage multiple projects simultaneously and work in a fast-paced environment
  • Strong prioritization and organizational skills with a proven ability to get things done
  • Sound judgment skills with an ability to work with confidential information and discretion
  • Ability to work independently and with a high degree of initiative to improve processes
  • Excellent interpersonal skills that inspire and build trust resulting in effective working relationships across the company
  • Proficiency with Microsoft Office (Outlook, Powerpoint, Excel, Word, Visio), Sharepoint, office technology and equipment
  • Experience creating high quality presentations utilizing Powerpoint, Keynote and reports using Excel is strongly preferred.

  • Compensation: The pay range for this position, based out of the Brooks Seattle HQ, is $28.80 - $43.23 per hour. Base pay offered will vary depending on job-related knowledge, skills, and experience.
