Position Summary:
The Contract HR Operations & Systems Specialist is responsible for managing key HR administrative processes, maintaining HR systems, and supporting employees with HR-related inquiries. This role plays a critical part in ensuring smooth day-to-day HR operations, data integrity, and compliance while optimizing HR systems and workflows.
Key Responsibilities
HR Systems & Data Management
- Monitor and update Workday, including keying in employee changes (hires, terminations, promotions, etc.).
- Oversee the HR Workday inbox, triaging and responding to employee inquiries in a timely manner.
- Maintain and update employee records, ensuring accuracy and compliance.
- Support team by ensuring accurate data entry for new hires, terminations, address/contact changes, and other employee life cycle changes (manager, cost center etc.)
- Run and analyze monthly and quarterly HR reports, including PPE reports.
HR Administration & Compliance
- Process and respond to employment verifications in alignment with company policies.
- Maintain organizational charts, ensuring they reflect the latest structure.
- Handle manual administrative tasks related to HR operations.
- Monitor and manage self-service issues
- Oversee the organization and regular cleanup /review for completeness of employee files.
Process Improvement & Support
- Identify inefficiencies in HR administrative processes and recommend improvements.
- Support HR projects related to systems optimization and data governance.
- Collaborate with cross-functional teams, including Payroll and IT, to streamline processes and enhance the employee experience.
Qualifications & Skills
- Minimum 2-3 years of experience with Workday or similar HRIS platforms.
- Strong attention to detail and ability to manage confidential information.
- Excellent organizational and communication skills.
- Ability to triage and prioritize HR inquiries efficiently.
- Strong analytical skills with experience running reports and analyzing HR data.
- Experience working in HR operations, systems, or a similar administrative role is preferred.
