Lead Office Coordinator
The mission of Equitas Academy Charter Schools is to provide a structured, achievement-based community that prepares students to graduate from four-year colleges and universities. We currently serve over 1,800 students and operate four elementary schools and two middle schools in the Pico-Union neighborhood of Los Angeles, with a growth plan to open two additional schools and serve over 2,000 students by 2024. The Lead Office Coordinator is responsible for the success of daily operations of the front office and directly manages the office team, under the general supervision of the School Operations Manager.
Responsibilities:
General reception including answering phones, opening mail, and greeting visitorsCollect and enter data into administrative databases Intake and direct students coming to office for medical, behavioral, and other reasons Assist School Operations Manager with managing and maintaining inventory of school suppliesCoordinate school mailingsMaintain student information files and other filing systemsEnsure confidentiality regarding school and student records Support recruitment and enrollment efforts for studentsTranslate meetings Help coordinate special events Follow policies and procedures for health, safety, and nutritionMaintain open lines of communication with staff, parents, and other stakeholdersSupervise team of Office Coordinators, which includes but is not limited to: conducting weekly team meetings and individual meetings with each office coordinator, tracking work progress and completion to maintain an efficient office, and training new office coordinators and assessing their growth and development. Maintain frequent communication with the School Operations Manager to report and provide updates on day-to-day office operations, highlighting areas of success and areas of improvementAssist School Operations Manager and School Director with special projectsOther duties as assignedKnowledge, Skills, and Abilities:
Excellent verbal and written communication skills in English and SpanishMeticulous attention to detailAbility to manage several projects and demands simultaneouslyExperience working in a school setting preferredStrong technological proficiency in Microsoft Office; comfortable using a Mac and learning new technologiesStrong commitment to our mission of preparing all of our scholars to attend and graduate from four-year colleges and universitiesQualifications and Experience:
Bilingual-Spanish requiredHigh School Diploma required; some college preferredExperience working at an Equitas school for at least two years, preferredDemonstrated ability to work well in fast-paced environment, with changing responsibilitiesCommitment to Diversity:
