Job Title:                    Surgery Coordinator 

Job Summary: fast paced multi-tasking position.  Scheduling surgeries, managing provider schedules, scheduling athletes, working with athletic trainers at different schools as well as working with the schedules for the Tampa Bay Lightning. 

*Minimum 1 year experience required* *MUST BE WILLING TO TRAVEL TO MULTIPLE OFFICES*

 Essential Functions of the Position:            

  • Completes the beginning of day processes
    • Powers up equipment
    • Logs on all work stations in exam room and work area
    • Sets up medical supplies and equipment for the day
  • Enters charges for services rendered by the medical assistant
  • Handles patient calls:
    • Returns messages
    • Notifies patients of test results and instructions from provider
    • Schedules follow up appointments
    • Makes follow up calls to check on patients post procedure as indicated by provider or office protocol
  • Distributes, reviews, and teaches patient education
  • Organizes and maintains sample and supply closets
  • Prepares charts
    • Acquires all medical records necessary for visit
    • Makes sure all ordered tests and studies have been performed and results are present before the date of the scheduled visit
  • Coordinates inpatient consults, surgeries, procedures, pre-operative testing, surgical clearance, and post-op visits for provider
    • Manages the hospital list of patients, assigns patients to provider
    • Ensures all consults are performed
    • Adds on procedures and testing for the day as ordered
    • Prepares referrals and obtains authorizations for Managed Care patients and documents them in Intergy
    • Forwards the authorization to the hospital
    • Obtains approval from the PCP for requested authorizations
    • Schedules appointments, procedures and surgeries
    • Notifies patients of the appointments
    • Forwards clinical data and records to the scheduled facility
    • Notifies provider and patient of denied requests for authorization
  • Coordinates admissions with provider and facilities
    • Coordinates equipment and/or surgical venders; i.e.: device reps
    • Prepares patient packet for provider at the facility
  • Manages and coordinates provider's surgery schedule and ensures all surgery patients on the schedule and ready
  • Relieves other staff members and covers their position as needed
  • Completes the end of day processes
    • Ensures voicemails are retrieved and handled before leaving
    • Maintains medical equipment; ensures all equipment is calibrated, cleaned and charged
    • Collects red bags as necessary
    • Monitors and replaces sharps containers when needed
    • Stocks exam rooms
    • Cleans and sanitizes exam rooms
    • Empties HIPAA container into destruction bin
    • Logs off of all work stations including exam rooms

 

Additional Responsibilities:

  • Maintains an organized and clean work area
  • Participates in maintenance of clinical supplies
  • Performs other incidental and related duties as required and assigned

 

Physical and Mental Demands:

  • Travel to multiple locations
  • Normal physical ability; able to sit for long periods
  • Normal concentration and normal complexity of decision making
  • High level verbal and written communication skills
  • Above average ability to manage multiple tasks simultaneously

 

Occupational Exposure:

  • Low risk exposure to bloodborne pathogens and chemical hazards

 Job Qualifications:

  • High school graduate or GED equivalent
  • Strong customer service orientation
  • Excellent interpersonal and communication skills
  • Good working knowledge of medical terminology
  • Strong computer skills
  • Ability to work in a fast paced environment and comfortable multi-tasking
  • Minimum 1 year experience required
