ROLE AND RESPONSIBILITIES:

We are looking for a seasoned Executive Assistant who will report directly to the Vice President of External Affairs at our Washington, D.C. headquarters. This individual will serve as the executive assistant to a group of senior executives at the company, including the Vice President of External Affairs and the Vice President of Regulatory Affairs.

The ideal candidate must be proactive with excellent problem solving and judgment skills. The individual must be able to handle details of a highly confidential and critical nature, interact comfortably and skillfully with senior level executives within and outside the company and with lawmakers, regulators, and other key stakeholders. He/she will be expected to resolve time-sensitive issues with a high degree of precision and exhibit strong critical thinking, organizational, written, and verbal communication skills.

Attention to detail and the ability to anticipate the needs of the executive leadership team are a must. The ability to credibly and competently interact with executive assistants and managers within and outside of Juul Labs is essential. The individual will
be expected to execute tasks with minimal direction.

This is a hybrid role requiring 3-5 days a week in the office depending on needs and schedules.

This role requires incredible organizational skills, flexibility, maintaining great relationships internally and externally, and self-sufficiency. In this role, you will:

  • Serve as the Executive Assistant (EA) for the Regulatory and External Affairs teams
  • Plan, organize, and manage multiple calendars.
  • Book executive travel.
  • Manage office logistics. 
  • Assist Federal and State Government Affairs (GA) team with processing political contributions and sponsorships.
  • Compile invoices, W9s and any other documents needed to process payments through external payment vendor.
  • Work with payment vendor to route contributions for legal and financial approvals.
  • Track and review all expenditures for audit purposes.
  • Collaborate closely with the Office of the CEO and other EAs and office managers across the organization.
  • Ensure timely communications and handling of confidential information.

PERSONAL AND PROFESSIONAL QUALIFICATIONS:

  • 10+ years’ experience as an EA or similar role providing support to policymakers or executives at a medium or large fast-paced company. 
  • Clear and concise communicator. 
  • Critical and strategic thinker.
  • Experience working with cross functional teams. 
  • Excellent collaborator.
  • Adaptable and resourceful in a dynamic environment.
  • Master multi-tasker who can work on several projects and priorities at once for multiple senior executives.
  • Detail-oriented with strong problem-solving skills.
  • Self-starter: can take any project and run with it to full and successful completion.
  • Proven stamina in a fast-paced environment.
  • Able to demonstrate maturity, professionalism and social acumen to maintain productive working relationships with internal and external constituents.

EDUCATION:

  • BA or equivalent work experience.

SALARY RANGES:
Salary varies by role, level and location, and is dependent on the cost of labor in a given geographic region among other factors. These ranges may be modified at any time.

SALARY RANGE:
$104,000—$127,000 USD
