This role is a full-time position working with a Commercial Real Estate Investment Sales Team in the Austin office of Marcus & Millichap. The individual in this position will be responsible for a wide variety of marketing and administrative duties.

Responsibilities:

  • Manage marketing tasks for a high-performing commercial real estate team that specializes in retail property sales in Texas.
  • Prepare and create marketing materials (such as proposals/evaluations, investment offering books, flyers, research reports, etc.) for each deal.
  • Collaborate with lead agent and team members to create, manage, and distribute email marketing campaigns for exclusive property listings and other email branding campaigns.
  • Candidate will also assist with several executive administrative tasks including, but not limited to, transaction procedures, creating organizational pipeline documents, and other systems to create business efficiencies.
  • Manage firm’s pipeline software for team deals: from proposal tracking/organization, pre-launch prep, on-market management, escrow coordination, and close submission in the system.
  • Assist in maintaining client files and transaction records.
  • Coordinate with office staff on the submission of deal documents to ensure transparency and compliance with firm and state real estate commission regulations.
  • Manage 3rd party listing sites for each deal and distribute leads to respective team members.
  • Database Management
  • Maintain a document management system for marketing deliverables and due diligence to be accessed by all parties to a transaction

  • Technical Skills:

  • Proficient use of Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.)
  • Experience with Adobe Create Suites programs (InDesign and Photoshop) to create marketing brochures, team branding materials, and aerials.
  • Solid understanding of Microsoft Excel and familiarity with spreadsheet formulas
  • Proven ability to work effectively in a team environment with associates. Capability of effective planning and priority setting.
  • Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
  • Requirements:

  • Prior administrative experience in a sales group essential
  • Real estate, legal, or financial services industry experience preferred
  • Flexible attitude with the willingness to take on new projects
  • Highly service-oriented individual with the ability to work well as part of a team
  • Strong organizational skills, ability to manage multiple priorities and ability to take independent initiative for action within areas of responsibility
