YOUR TEAM
The Events team works in the sports entertainment industry and in brand & event activations, for a variety of customers around the world. They leverage our multimedia toolbox and tacit creative know-how to provide permanent & temporary user experience solutions to enhance fan engagement & experience.
Responsive and meticulous, they produce innovative and highly technical creations, often to tight deadlines, reflecting Moment Factory's standards of excellence.

YOUR MISSION
Your main responsibility will be to provide support to the Producers and Associate Producers, as well as to the entire project team. This will involve tracking projects from conception to execution, including administrative tasks, logistics, documentation, communication, etc. To ensure the highest quality of the final product, you will need to synchronize the creation and production process by mobilizing the various resources involved at the right time and ensuring communication between all stakeholders.

ROLES AND RESPONSIBILITIES

  • Ensure coordination between the content, innovation, interactive, and environment departments;
  • Plan and organize activities and meetings related to the implementation of the project;
  • Provide administrative support to the entire project team;
  • Ensure proper documentation of the project (note-taking, archiving, etc.);
  • Assist with the updating of various tools (budget, timeline, etc.);
  • Contribute to improving existing processes, develop and communicate new management tools to the relevant individuals;
  • Prepare contracts for freelancers and suppliers using templates;
  • Follow up on communications with employees, clients, suppliers, collaborators, freelancers, and stakeholders;
  • Assist the team with various accounting-related tasks (expense accounts, invoicing, etc.);
  • Ensure effective management of work distribution and the allocation of project hours to meet budget limits;
  • Plan and organize travel and transportation for the project team, and prepare related documents (i.e. travel documents, iCal, Visa/B1, ATA Carnet, etc.);
  • Perform tasks related to project closure as needed: data archiving, post-mortem, collecting graphic elements for the internal database, and necessary project communication information;
  • Execute ad-hoc requests from the Producers and Associate Producers;
  • Support Producers in business development.
  • YOUR JOURNEY INCLUDES

  • College education (DEC) or a Bachelor's degree in project management, communications, visual arts, and/or any other related field;
  • 2 to 3 years of experience in a coordination and/or project management role;
  • Fluency in French and English, both spoken and written (you will regularly communicate with English-speaking clients in this role);
  • Proficiency in iWork, Office Suite, and Google Workspace;
  • Experience working in an artistic environment related to Moment Factory's fields of activity: multimedia environments, audiovisual production, architecture, events, etc., is a plus.

  • Comfortable handling clerical/administrative tasks.
