MongoDB is hiring a Workplace Manager for India to be part of the regional Workplace team. Working closely with local leaders, site leadership teams, real estate, procurement and the employee experience team, this role will be responsible for ensuring the India offices suit business requirements while enabling our hybrid working model. 

Additionally, the India Workplace Manager will partner with HR and local workplace teams to align with the regional workplace frameworks, programs, policy and practices while also driving consistency across all India sites. This includes overseeing calendared site initiatives to drive site collaboration and engagement. With good communication skills and orientation towards proactive collaboration, this role will  drive change, embed new initiatives, and foster an engaging employee experience in India.

The Employee Experience Team at MongoDB is the face of HR to the approximately 5,000 employees globally. The team is responsible for providing full employee life cycle service delivery from onboarding to separation management in partnership with the rest of the People Team including the following CoEs: Recruiting, Total Rewards, Culture & Engagement, Employee Engagement & Inclusion, HR Business Partnering and HR Operations. The team is also responsible for our Workplace sustainability and community/events efforts, Employee Relations, policy and process enhancements including regional compliance as well as developing programs to enhance manager capability across the company.

Key Responsibilities

  • Build and maintain productive relationships with building management, and key onsite teams including IT/AV, HR, housekeeping, transportation and security
  • Own the relationships with local business stakeholders, serving as key contact and influence with business leaders and employees on the approach to workplace
  • In collaboration with Global Real Estate team, gather, analyse, provide insight, and disseminate business requirements and forecasts for the development of strategic real estate plans
  • Oversee soft services, events, food services, facilities operations, transportation and housekeeping
  • Develop and implement new workplace processes and programs to streamline operations
  • Play a key role in Site Leadership Council and leverage council to deliver site initiatives that build culture and community
  • Own and execute workplace projects, through collaboration with multiple teams to drive outcomes
  • Ensure measures are in place for after-hours facilities related emergencies, and promote workplace safety
  • Ideate and implement in-house events aligned with the regional strategy, to enhance the employee experience
  • Collaborate with the procurement team on opportunities to define vendor scope and manage supplier/vendor performance
  • Coordinate and negotiate all supplier/vendor contracts, and manage any escalations with local suppliers/vendors
  • Own and manage local budget - office service requests and office operating costs in line with budget
  • Ensure compliance to all procurement processes and policies
  • Provide direction and support to direct reports for them to perform their roles and deliver the right outcomes

Requirements

  • Minimum 5 years experience in office management, facilities, vendor management and community/events
  • Experience managing a team in a similar environment/industry
  • Willing and able to travel between local offices
  • Good business acumen, with a demonstrable relationship approach
  • A high degree of independent judgment, integrity and discretion in order to identify, diagnose, and solve problems while taking a team approach to daily office operations
  • Well organised and strong analytical skills
  • Flexible approach with superb interpersonal skills, both in verbal and written communications
  • Able to effectively present information and communicate changes
  • Space planning and management experience
  • A clear vision with regard to the maintenance of a vibrant, functional workplace
  • Highly organized with an attention to details and ability to multitask
  • Proficient with Google Suite, MS office applications, Slack and Mac
