About The Opportunity
We are looking for a motivated, experienced, and data-driven Senior People Operations Partner to join our dynamic team and play a key role in our incredible growth story.
In this role, you will own and manage day-to-day People Operations, ensuring smooth and efficient processes throughout the entire employee lifecycle, from onboarding to offboarding. You will serve as a trusted advisor, providing guidance and support to employees and internal stakeholders while continuously enhancing efficiency and driving process improvements.
As a mentor, you will support and develop junior team members, sharing your expertise and leading by example in delivering operational excellence and an outstanding employee experience.
In This Role, You Will:
- Manage People Operations Lifecycle: Be responsible for managing the entire employee lifecycle in our German entities, including onboarding, leaves, amendments, absence, and offboarding. You may also support these processes for other European countries.
- Mentorship and Team Leadership: Mentor junior team members, providing guidance and support in day-to-day tasks. Lead by example in demonstrating professionalism, operational excellence, and a commitment to the employee experience. Inspire and motivate team members to continually improve and grow in their roles.
- Ticketing System Management: Oversee and manage requests submitted through Jira, ensuring all requests related to employment contracts, leaves, amendments, and offboarding are processed efficiently. Maintain a high focus on defined SLAs and delivering excellent employee experience.
- HRIS Management: Work with Workday (our HRIS) to handle all processes and requests with a strong focus on data accuracy, quality, and compliance. Ensure data integrity throughout all HR operations.
- Process Improvement and Efficiency: Proactively identify opportunities for process improvements and efficiency gains, driving continuous improvement across People Operations. Lead initiatives for automation and workflow optimization.
- Support Compliance and Audits: Assist in ensuring compliance with internal and external regulations, including managing audits and overseeing process quality assurance.
- Stakeholder Management: Collaborate with various internal and external stakeholders, including Payroll, People Tech, People Business Partners (PBP), Talent Acquisition, Employee Resource Groups, Finance, Workplace teams, and external providers, to ensure accurate data exchange and efficient operations.
- Project Leadership: Take on independent tasks in exciting internal projects, including process automation, data quality management, and other strategic initiatives to enhance People Operations.
- Office Representation and Local Support: Serve as the main People Team representative for the Vienna office, supporting office-related tasks such as managing mail, addressing compliance matters, and assisting with new hire onboarding. Provide support for People Team activities, including office management, deliveries, visitors, and event coordination.
What You Need To Be Successful:
- Experience: 5+ years in People Operations or Human Resources, with experience managing the full employee lifecycle, including onboarding, offboarding, leave, and amendments - ideally within the German market. Experience managing HRIS systems and ticketing systems (Workday and Jira preferred).
- Process Improvement Focus: Proven track record of driving process improvements and efficiencies within People Operations, with a focus on automation and operational excellence.
- Data-Driven: Strong focus on data accuracy and quality, with the ability to manage and ensure data integrity across HR systems and processes.
- Collaboration & Stakeholder Management: Excellent interpersonal skills, with the ability to work effectively with cross-functional teams and external partners, ensuring seamless communication and operations management.
- Mentorship & Leadership: Experience mentoring junior team members, providing support and guidance in day-to-day tasks. Ability to lead by example and inspire others to achieve operational excellence.
- Project Management: Strong project management skills with experience leading and executing internal projects related to process improvements, system automation, and data quality.
- Customer-Focused: Strong customer service mindset with a passion for delivering exceptional experiences throughout the employee lifecycle.
- Bilingual Communication: Excellent written and verbal communication skills in both English and German to effectively support employees and collaborate with stakeholders.
- Location Requirement: Must be based in Vienna or willing to relocate. This role requires an on-site presence to support employees in the office in a hybrid working module.
