We are seeking a Budget Coordinator to support all teams within the HR function, ensuring financial processes run smoothly and budgets remain on track. This role will work closely with Finance, Procurement, Accounts Payable, and cost center owners to manage spending, vendor payments, and procurement processes. While supporting all HR teams, the Budget Coordinator will report into the Head of TA Enablement.
This position requires strong organizational and communication skills, as well as the ability to collaborate across global time zones with teams in different regions.
RESPONSIBILITIES
- Budget Tracking & Reporting – Monitor HR spending, track purchase orders, and ensure costs align with approved budgets. Provide real time spend reports to cost center owners.
- Vendor & Invoice Management – Partner with Procurement to support vendor onboarding, answer payment inquiries, and ensure timely invoice submissions. Verify that agency payment terms are met before payouts. Verify payments have been completed.
- Procurement & Financial Processes – Create and manage purchase requisitions (PRs) and purchase orders (POs) while tracking spend against budget. Work with Procurement and Finance to improve budget submission and tracking processes.
- Financial Variance Tracking – Collaborate with Finance partners to develop and maintain a tracker that compares actual quarterly spend against estimated budgets, identifying variances and trends to improve forecasting.
- Liaison Between HR & Finance Business Partners – Act as the bridge between HR and Finance, ensuring seamless communication, aligning financial strategies, and helping HR teams understand financial performance insights. Support Finance Business Partners with data and analysis to enhance budget accuracy.
- Cross-Team Support & Compliance – Support all HR teams with financial operations while ensuring adherence to company policies and procurement standards.
WHAT YOU’LL NEED TO BRING TO THIS ROLE...
- 1-2 years of experience in budget coordination, finance, procurement, or a related field.
- Strong skills in budget tracking, financial reporting, and vendor coordination.
- Familiarity with Netsuite, Graphite Connect, or similar financial systems is strongly preferred.
- Proficiency in Excel or Google Sheets with the ability to analyze and manage financial data.
- Ability to work across multiple time zones and collaborate with global teams.
- Excellent communication and organizational skills with a keen attention to detail.
