Your opportunity

You will play a key role in providing a great workplace experience for employees in the Tampere office. 

Front Desk Management:

  • Welcome and assist employees, visitors, candidates, and vendors at the front desk. 
  • Answer questions and ensure a positive experience for all visitors. 
  • Be the main contact for team members and help enhance the office culture. 
  • Assist senior leaders with administrative tasks like managing documents and sensitive information. Translate and create documents for the People team as needed. 
  • Handle incoming calls and direct them to the right teams. 
  • Handle, scan, and sort company mail to ensure timely and accurate distribution.

Office Management:

  • Support Scandit Tampere-based employees with various work-related inquiries. 
  • Conduct daily office inspections and resolve any issues. 
  • Maintain high standards for the facility and equipment. 
  • Build good relationships with tenants and other stakeholders. 
  • Monitor the workplace budget to ensure it aligns with planned expenses. 
  • Ticketing support in collaboration with the People Operations team.

Event Management:

  • Collaborate with teams to create event concepts, prepare budgets, set deadlines, and define objectives. 
  • Host events and ensure all employees are engaged and included. 
  • Assist with internal and external events, ranging from 10 to 200 participants. 

Vendor Oversight:

  • Monitor on-site vendors and services, such as cleaning, maintenance, and food & beverage. 
  • Ensure vendors meet contractual agreements and performance standards. 
  • Address any vendor-related issues promptly and maintain good communication. 

Inventory Management:  

  • Manage non-IT office equipment, stationery, and kitchen supplies. 
  • Ensure all necessary items are in stock and meet health and safety standards. 
  • Oversee the inventory of swag for new hires and upcoming events.

  • 1-2 years of experience in Office Management with a fast-paced, high-growth business or a similarly relevant role.
  • You’re a team player and thrive on working with your colleagues. You’re not afraid to ask for help when you need it and are happy to support the team in whichever way you can.
  • Business level fluency in Finnish and English, both written and spoken. 
  • You’re not afraid to be “hands-on” to get things done. You have strong organizational skills, and attention to detail and can balance multiple demands and competing priorities.
  • You are proactive and you take ownership.
  • Willingness to flex outside your role, your team, and (sometimes) your comfort zone to have a real impact on the business.
