As Executive Assistant to the General Counsel and the Legal leadership team, you will be at the center of the Legal team’s business operations and activities and will be relied upon to help keep the team organized and on schedule. You must be dependable, detail oriented, and able to keep up with changing business needs. You must also have the communication skills needed to interact with a variety of people and job functions, including other EAs across Snowflake’s executive leadership team. This is an in-person role based primarily in Dublin, California, but with up to two days a week in our San Mateo, California office. 

RESPONSIBILITIES :

  • Perform an extensive array of core administrative tasks, including:
    • effectively manage and maintain calendars for the Legal leadership team;
    • book travel and manage expenses;
    • create, organize, and maintain team mailing lists, folders, drives; 
    • organize, plan, and execute team events; 
    • respond to questions and requests for information by employees and guests, connecting people with the right resources; 
    • greet guests (i.e., interviews, customers, etc.) and assist with sign in upon arrival; and
    • assist with signatures and mail.  
  • Attend team meetings, assist with day-to-day projects, and help build and improve processes and systems.
  • Build efficiency and effective responsiveness into existing operations, and help define new operational strategies. 
  • Serve as a lead for, and manager of, small programs and projects.
  • Other duties as assigned.

SKILLS AND EXPERIENCE :

  • Bachelor’s degree and 8+ years of relevant work experience (e.g., direct executive support, project management, or event planning experience). 
  • Notary public strongly preferred. 
  • Experience providing support to executives in the legal industry preferred.
  • Experience interacting with and supporting boards of directors preferred. 
  • Proven ability to manage time efficiently and prioritize multiple stakeholders, functions, and tasks. 
  • Excellent communication and interpersonal skills; proven ability to take initiative and build strong, productive relationships.
  • Experience implementing systems, processes, or programs that increase efficiency.
  • Positive, can-do attitude and willingness to jump into a variety of projects.  
  • Resourceful self-starter that is curious, asks questions, and can make logical, proactive decisions in a fast-paced and demanding environment. 
  • Extreme attention to detail, organized, and responsive. 
  • Generally IT savvy; proficient with Google suite of products (Gmail, Calendar, Docs, etc.)
  • Experience working with all levels of management, employees, vendors, and customers.
