About the opportunity
We are looking for a proactive and highly organized Executive Assistant to support our CTO and CPO in Paris and Montpellier, while ensuring the efficient coordination and management of our Montpellier office (150 people). In this role, you will also play a key part in supporting our Innovation team (Product + Tech) across Montpellier, Paris, Ljubljana, and Netanya (400+ people). This is a unique opportunity to be at the core of a fast-moving, international environment—contributing to strategic projects, fostering collaboration across teams, and ensuring seamless day-to-day operations.
This is not your typical assistant role - it's a high-impact position working with dynamic and fun people, requiring strategic thinking, operational excellence, and an intuitive understanding of priorities. You will manage complex schedules, coordinate high-stakes meetings, optimize executive workflows, and serve as a cultural leader in our dynamic workplace. As we execute a step-change merger with a huge opportunity, your ability to anticipate needs and foster connectivity will be instrumental in our team and company’s overall success.
What will you do?
As an Executive Assistant, your primary role is to be a strategic partner to our two executives, managing calendars, travel, and communications with precision and foresight to optimize impact, time and efficiency. You will be responsible for:
Strategic Support
- Anticipating and proactively supporting our CTO (Chief Technology Officer) and CPO (Chief Product Officer) as they operate effectively and optimally
- Serving as a trusted liaison, handling sensitive information with discretion and professionalism.
- Driving a strong team culture, organizing key events large and small and team engagement/culture initiatives
- Supporting our merger and future growth by identifying opportunities to streamline processes, optimize scheduling, and enhance productivity
Time & Travel Management:
- Proactively organizing the executives' time, preparing sessions before important meetings.
- Making critical prioritization decisions around meetings and deliverables, having confidence and backbone to challenge requests, and protecting the executives’ time
- Managing complex travel arrangements, ensuring smooth coordination with schedules (working closely with other Teads executives, and sometimes clients).
- Working closely with EAs for other executives in US, EU, and IL on critical leadership activities, company-wide meetings and events
Support to the Innovation Team and Other Teams:
- Coordinating events for the Innovation team (400+ people across three primary countries) and organizing global meetings (working closely with office managers from other countries).
- Preparing presentations, ensuring visual materials are followed up on, and guaranteeing the availability of equipment.
- Acting as a liaison between leadership and teams for smooth and effective communication
- Organizing internal offsites at different scales and cadences, ensuring a premium experience for attendees while managing costs with frugality
Office Management:
- Ensuring the smooth run of the office by managing the layout, ordering supplies, and handling relationships with external suppliers.
- Organizing internal and external events (seminars, client events, etc.).
- Monitoring office-related budget expenses (working closely with the accounting team).
What will you bring to the team?
- Excellent organization and priority management, ensuring daily efficiency.
- Professionalism and comfort interacting with high-level stakeholders.
- Proactive mindset, solution-oriented, with a discreet and confidential approach.
- Detail-oriented professional who thrives in a fast-paced, ever-evolving environment.
- Adaptability under pressure and the ability to respond quickly to changing priorities.
- A natural problem-solver who can anticipate challenges, think several steps ahead, and take initiative without being asked.
- Trusted point of contact, facilitating communication between leadership and teams.
- Attentive listening, precision, and the ability to communicate concisely to effectively address the concerns of teams and leadership.
- Personalized management of leadership schedules, anticipating and resolving organizational challenges before they arise.
- Ability to respond to office management requests with professionalism, prioritizing the needs of the team and the organization.
- A champion of team culture who understands the importance of team morale and creating connections in a global environment.
- Tech-savvy with proficiency in Google Suite, Slack, Zoom, project management tools (e.g.,Monday), and the ability to pick up new tools quickly.
- Fluent in English (written and spoken) as the daily work language & French.
- Professional experience as an Executive Assistant in a fast-moving global company with hundreds/thousands of employees.
