ABOUT VENTURE CAFÉ GLOBAL INSTITUTE (VCGI) & CIC FUKUOKA
Venture Café Global Institute (VCGI) began in 2009 within the Cambridge Innovation Center (CIC) in Massachusetts, aiming to connect people, ideas, and resources globally. ABOUT CIC & CIC FUKUOKA
CIC builds and operates a global network of innovation campuses where startups, scale-ups, corporations and public entities connect, work, and grow. Founded in 1999, CIC manages more than 111.000 square meters of innovation-focused workspace, laboratories, and event space across North America, Europe and Asia. Additionally, CIC develops innovation-related programming, builds and enables industry clusters, and provides world-class innovation consulting.

CIC Fukuoka combines workspace and high-impact programming to become a physical center of gravity for the innovation community and help to connect the region to the global innovation ecosystem. The strategic expansion will mark CIC’s second innovation campus in Japan and tenth global location. CIC Fukuoka occupies the 7th floor (approx. 3,500 m2) of the ONE FUKUOKA BLDG., and have private offices and a coworking space, as well as conference rooms, a kitchen/cafe space, a game room and other amenities that can be shared by tenants.

YOUR DAY-TO-DAY WORK 
With a background in event management, you bring creativity and flexibility to Venture Café Fukuoka, driven by a passion for mission-driven work and a commitment to hosting successful events. Your customer service excellence, problem-solving skills, and openness to learning from failure, paired with meticulous attention to detail, prepare you for success in this role. You excel in executing and innovating event experiences, engaging diverse community members, creatively using spaces, communicating effectively in various settings, and leveraging social media to promote events. 

Additionally, you have:
•  Ideally at least 3 years of professional events experience.
•  Fluency in Japanese and strong English proficiency.
•  Ability to legally work in Japan. We are unable to sponsor visas for this role at this time.

In this role, you will be responsible for executing and managing impactful events that foster engagement, innovation, and community building. Your primary focus will be coordinating the Venture Café Fukuoka Thursday Gatherings while also supporting broader event operations at CIC Fukuoka. You will collaborate closely with the CIC Fukuoka team.

Key Responsibilities:
- Execute and manage the weekly Venture Café Thursday Gathering and support broader events at CIC Fukuoka, including program planning, speaker coordination, operations and on-site logistics.
- Oversee all aspects of event execution, from vetting requests and scheduling to setup, troubleshooting, and post-event follow-up.
- Promote events across various channels, including web and social media platforms, to maximize engagement.
- Manage event inventory, including food & beverage supplies, signage, and printing materials.
- Set up and break down event spaces, arrange furniture, and operate AV equipment to ensure seamless event experiences.
- Coordinate and guide local Venture Café Ambassadors and volunteers to support events effectively.
- Act as a proactive ambassador during events, providing troubleshooting and customer service to attendees and partners.
- Collaborate with the global Venture Café network to share best practices and strengthen the connection between local and international counterparts.
- Identify and mitigate risks to ensure smooth event operations and a high-quality experience for participants.
- Work closely with building contacts to maintain secure, clean, and well-organized event areas.
- Handle administrative tasks such as invoicing, event reporting, and documentation to manage the full PDCA cycle of events.
- Stay informed about industry trends and best practices to continually enhance event strategies and execution.

ABOUT YOU 
You are a creative, energetic, and detail-oriented event professional who thrives in a fast-paced, community-driven environment. Your strong organizational skills, problem-solving abilities, and customer service mindset enable you to coordinate and execute high-quality events seamlessly. You are adaptable, tech-savvy, and passionate about bringing people together through engaging experiences.

YOU HAVE:
- At least 3 years of professional event management experience.
- Fluency in Japanese and strong English proficiency.
- The legal ability to work in Japan (Visa sponsorship is not available for this role).
- Availability to work flexible hours, including early mornings, evenings, and occasional weekends, based on event schedules.A proactive approach to problem-solving and a strong ability to multitask under pressure.
- Experience with event management tools (e.g., Tripleseat, Google Apps) and streaming platforms.
- Comfort with physical tasks such as setting up AV equipment, moving tables and chairs, and working on a computer for extended periods.

Work Schedule Expectations:
- Standard work hours are from 9:00 am to 6:00 pm, Monday to Friday, but expected to be adjusted to fit Thursday and other event schedules, within the range of 8:00 am to 9:00 pm, with 8-hour shifts scheduled in advance.
- Present at the Thursday Gathering venue, which happens every Thursday.
- Expect to support occasional weekend events.
- Flexibility is required as schedules may change based on event needs.
